Tony Papandrea called the meeting to order immediately following the Annual Owner’s meeting at 1:35pm.
A quorum of the Board was present with Barbara Cooledge, Bob Cory and Dave Luenzmann in attendance. Lea Stokes and Karen Hopkins were also present from Preferred Management Services.
ELECTION OF OFFICERS
The Board voted to keep their previous positions as follows:
Tony Papandrea – President
Bob Cory – Treasurer
Jeanne Kiley – Secretary
Barbara Cooledge – Vice President
Dave Luenzmann – Vice President
The minutes of the December 5, 2011 and February 6, 2012 were approved.
AFTER HOURS EMERGENCIES
It was brought to the Board’s attention that some of our owners are calling Eddie Cook, our maintenance supervisor directly on his cell phone. Some of these calls are for issues within the realm of owner’s responsibilities and not the Association’s. This is also an issue because we are using Eddie’s personal cell phone. When he is on vacation he should not be getting these calls.
The proper procedure for after-hours emergencies is to call (386) 439-0134.
This telephone number and procedure is also stated on Karen’s office message.
When calling this number you are prompted to push the buttons associated with your Association, in this case La Grande Provence. It will ask you to leave a message with your call back number and the nature of your emergency. The on-call manager will return your call and dispatch if necessary the proper person to handle your call. Eddie or the on-call person will then be authorized to respond to your emergency.
The Home Owner’s Association may be setting guidelines for trash cans on the dune walkovers which will be built into the walkover on the beach side. The Board feels that because we presently have a trash can on the dune walkover that they will hold off on making any changes.
A request was made to install a shower that is foot operated on the walkover. The board feels that our present shower serves its purpose and will not incur the expense to make the change.
The Board unanimously agreed to add Eddie Cook, our maintenance supervisor, to the medical insurance program that our other staff members currently enjoy.
Eddie’s 1 year anniversary was in January 2012.
The Board discussed the next step to take for the owner of 1203. The Board had a payment agreement with the owner that was violated when her check was returned for insufficient funds. Her unit has been placed into the GAP insurance program (see Annual Meeting minutes) and our attorneys are ready to move forward with the enforcement of the rent demand letter dated February 23, 2012 commencing with the April rent, and if unsuccessful, then with the eviction of her tenants. This was a unanimous vote of the Board.
There being no further business to bring before the Board, a motion was passed to adjourn the meeting at 2:30pm.
